Executive Administrator/Assistant - LONDON - 6 MONTHS
Job purpose and key deliverables
British American Tobacco is looking for an Executive Administrator/Assistant to join our London office on an initial 6 month contract basis.
The sucessful candidate will offer support to the Program Manager and support Program. You will act as an administrative liaison point and interfaces with employees at all levels as well as external stakeholders / consultants.
Principal accountabilities include:
Provide confidential and comprehensive administrative/secretarial support, covering highly sensitive work.
Manage calendars on behalf of senior managers, keeping a close eye on what needs to be actioned, depending on priorities of managers.
Assist managers with their Expense & Time management where required.
Day-to-day budget management (raising PO’s, tracking of invoices reporting and ad hoc requests).
Arrange Conferences / team meetings, ownership from start to finish and keeping a close eye on cost ensuring budgets are adhered to.
Assisting managers with Records management archiving where necessary.
Plan workload to anticipate and balance priorities thus optimizing output and contributing to the smooth running of activities
Continuously seek opportunities to understand & anticipate team needs to provide high quality support
Maximize own impact on others (i.e. peers, internal & external) to build effective working relationships and get things done
Maintain strong working relationships with all functions / key stakeholders, including external suppliers. – e.g. events companies, facilitators.
Focus on continuous improvement of administrative responsibilities, improving the effectiveness and efficiency of current systems and processes in accordance with best practice
Secretarial / administrative experience ideally within a large company
IT literate: excellent keyboard skills and advanced skills in current versions of Word, PowerPoint, Excel, Lotus Notes. Good user knowledge of SRM
Excellent written and verbal communication skills
Good organization skills with the ability to anticipate requirements, prioritize own workload and set daily/weekly objectives and targets
Self-motivated and able to work quickly and accurately to tight deadlines
Ability to build effective relationships and work with people at all levels within the organization.
Good interpersonal and team working skills
Ability to thrive in a changing environment, with a wide range of personality types and with tight deadlines and multiple activities.
Team dynamics/needs and functional structures are well understood and the appropriate, quality support is anticipated and efficiently provided
A good knowledge & understanding of team members’ responsibilities and activities
Knowledge and understanding of Company policies and procedures
High level attention to detail and accuracy
External contacts are confident that requests are met in an efficient and timely manner
Information systems are well maintained and up to date
